[15745] Routing task recipients, regardless of user level, can view the routing status of a document on its Routing page.

[15759] When creating a multi-step Routing Slip and the recipient is the same for each step, the permissions to the document are changed as required.

What's New in DocuShare 6.0

Easily add the content from paper documents to DocuShare by scanning them. Using scan cover sheets, you can scan documents to your personal collection, upload a document by scanning it, and scan a new document version.
User levels allow different types of users to access the same site content, while enabling administrators to manage which users can access DocuShare features and capabilities. In addition to guest, DocuShare, and CPX user levels, a new Read-Only user enables a user to view content, add content (if permissions are given), and manage personal content on My DocuShare.
The ability to add wikis and weblogs is included in DocuShare 6.0. To simplify text formatting, wikis and weblogs provide a WYSIWYG editor (the editor also is provided in the Description field for all objects). Additional enhancements include a Printable View option for displaying and printing wiki pages and the ability to have weblog content approved before it is posted.
View document content and properties simultaneously using a new View Document & Properties command.
DocuShare portal integration supports portal server offerings such as Microsoft SharePoint Server, Oracle Portal, IBM WebSphere, and other enterprise-class portal servers enabling you to access DocuShare content from a portlet.
My DocuShare includes a personal trashcan, which you can use to restore your deleted objects.
The built-in Email Agent is now included in DocuShare 6.0. Using the Email Agent and a multifunction device that supports scan to email, you can scan documents directly to collections and workspaces.
A background job queue processes potentially time-consuming tasks in the background. An administrator can view and delete all of the jobs in the queue; users can view and delete their own jobs.
A new Content Intake Manager enables rapid intake of content from an external device or application.
Significant performance improvements are included.

What's New in DocuShare CPX 6.0

All of the new features in DocuShare 6.0 and the following:

DocuShare CPX provides additional scan cover sheets, allowing you to scan documents directly to collections and workspaces.
DocuShare CPX allows multiple external devices or applications to send content using the Content Intake Manager. Incoming content can be managed using workflows.
Content rule enhancements include having an action run when a routing event occurs, converting content to a variety of formats, and setting properties on an object after the content rule completes successfully. In addition, system integrators can add customized content rule actions.
DocuShare tracks all user activity and object changes, which you can view on an object's Properties page as well as convert the information to XML.
A document search feature, utilizing Xerox TrueMatch technology, enables you to find documents with identical content, regardless of their format.

Known Issues

Administration Interface

Custom property does not appear on Display Sequence page [7538] - After adding a custom property you need to update the schema to save the new property to the database.
Stack trace when using the List Workflows page [9662] - A stack trace occurs when you click the Instantiate, Activate, or Archive button on the List Workflows page in the Admin UI. However, the workflow is not affected.
Deleting the account of a user who owns many objects [14489] - When deleting a user account and the Confirm Delete page indicates that the user owns a large number of objects, do not select Show All to view all the objects the user owns.

Conversion Services

Some documents cannot be converted to HTML - Some documents of formats supported for HTML viewing may not display fully or may result in an error. There are limits on what HTML can handle, and some features or specific files are not yet supported properly by the Autonomy KeyView software on which the DocuShare HTML Viewing functionality is based.

Document Approval and Routing

Only available through the Web UI - Document Approval and Routing is available only in the Web UI. Other clients, such as WebDAV or the Windows Client, always publish documents without routing. Although, you can customize document workflows using the DocuShare Developer Environment.
Routing tasks and upgrades - Routing tasks are upgraded from DocuShare 5.x to 6.0. If you are using a DocuShare release earlier than 5.x, you should let the routing tasks complete before upgrading. For more information, contact Customer Support.

Searching and Indexing

Office 2007 files are not indexed [14422] - Currently, the Autonomy text extraction libraries used to index file content does not support Microsoft Office 2007 files. As soon as Autonomy provides the support, a DocuShare maintenance update will be released.
Some documents cannot be indexed - Occasionally, indexing is unable to extract some or all of the text from a document. The Autonomy text extraction libraries used to index file content support a variety of file formats, but will have trouble with certain files.
Search returning bad search results - If incorrect search results are being returned, execute the dsindex command line utility to rebuild the search indices.

DocuShare Clients

Outlook Client Address Book does not always work [12547] - If you are using Outlook 2000 or 2002, the Address Book feature of Outlook Client might not work. You can add mail messages and attachments to collections using drag and drop.
Errors clicking message fields for wikis and weblogs [12628] - When viewing wiki and weblog objects using Outlook Client, clicking the From field generates an error message and clicking the To field causes the text to disappear. However, you can click the URL in the message body to display the object in a browser.

[36222] You can now view the owner of a group. In the Admin UI, a link takes you to the Web UI page.
[36756] The field help for the Choices property on the Edit Collection Menu Property pages was revised to clarify that the Add and Delete buttons do not apply to all properties.

What's New in DocuShare 5.0

Federated DocuShare enables users to search and access content on multiple DocuShare servers. Federation pages in the Admin UI facilitate setting up a federation and a Federation Settings page in the Web UI (User Properties page) allows users to map their accounts to federated servers.
DocuShare password control features support HIPAA compliance. A new Account Policies page in the Admin UI provides a range of administrator-controlled password rules and login/logout policies.
IBM DB2 database support for metadata storage through the Enterprise Database Connector.
Web UI enhancements include Cut and Route commands in the Edit Selected menu and the support of additional methods of creating both simple and advanced searches.

In addition to the new features in DocuShare 5.0, DocuShare CPX includes:

Content rules facilitate process automation. You can set up a content rule for an object to have an action run automatically when a specific event occurs.

Workspaces provide shared areas for project collaboration. A wizard and templates let you easily create a shared space for adding and managing content and communicating with workspace members.
Integration with WebEx™ Meeting Center enables you to easily communicate with co-workers regardless of geographic location.
Document export feature allows you to copy documents to locations on external servers.
PDF conversion feature lets you view supported document types in PDF format.
Add comments to documents to keep a record of pertinent information and view the property change history of documents.

Installation

Server locale setting needed on Linux/Solaris systems [5195, 11935] - To prevent DocuShare documents with accented characters from becoming corrupted, you must set the LANG environment on your system before starting DocuShare.
1. Check the locale settings on your system by typing locale -a in a console window.
2. If your locale is not listed, set your locale without the variant. For example, en_US, fr_FR (do not use a variant such as UTF-8).
3. Type locale -a to verify that your locale is listed.
User sessions terminate using Oracle database on Solaris server [12098] - When Oracle database version 9.2.0.6 is installed on a Sun Solaris server, DocuShare sessions can terminate. This is caused by an Oracle bug that will be fixed in a future Oracle patch.

LDAP

Set SunONE/iPlanet Directory Server after upgrade [10605] - If your site uses a SunONE/iPlanet Directory Server for LDAP, use the LDAP Configuration page in the Admin UI to select and apply the SunONE/iPlanet Directory Server as the Server Type after upgrading from DocuShare 4.x to 5.0.

Searching and Indexing

Some documents cannot be indexed - Occasionally, indexing is unable to extract some or all of the text from a document. The Verity text extraction libraries used to index file contents support a variety of file formats, but will have trouble with certain files.

The Records Manager add-on enables you to create electronic records of your business-sensitive documents and mail messages. The content of records can be viewed, but the recorded documents and mail messages cannot be changed, which safeguards their content and ensures their authenticity.
The Content Encryption add-on protects your information by automatically encrypting the content of a document when it is uploaded to DocuShare. The content is decrypted when users view or edit the document.

Web UI

My DocuShare provides a portal view of your DocuShare site. Using My DocuShare you can manage objects in a private collection, access your favorite objects, maintain a single calendar of your favorite events, access your routing tasks, and view your browsing history.
In addition to adding objects to your list of favorites, you can access your favorite objects on Web UI pages such as Permissions (favorite users and groups) and Change Location (favorite collections).
You can manage an online forum by posting topics and replies to a discussion object. All replies are threaded and fully searchable. Replaces bulletin boards and bulletins.
Enhanced search features include new menus for quick word searches and a single, redesigned advanced search page. Paging controls and sort options added to the search results page.
An expandable content map allows you to view all site objects from a single page and easily edit multiple objects in different locations.
A new wizard-based Routing Slip enables you to create multi-step workflows. You can now route individual document versions.
You can assign access permissions to individual document versions and set the preferred document version.

A new Mail Message object class provides properties specific to mail messages.

Known Issues

Administration UI

Custom property does not appear on Display Sequence page [7538] - After adding a custom property you need to update the schema to save the new property to the database.
Stack trace when using the List Workflows page [9662] - A stack trace occurs when you click the Instantiate, Activate, or Archive button on the List Workflows page in the Admin UI. However, the workflow is not affected.

Conversion Services

Some documents cannot be converted to HTML - Some documents of formats supported for HTML viewing may not display fully or may result in an error. There are limits on what HTML can handle, and some features or specific files are not yet supported properly by the Verity KeyView software on which DocuShare’s HTML Viewing functionality is based.

Document Approval and Routing

Only available through the Web UI - Document Approval and Routing is available only in the Web UI. Other clients, such as WebDAV or the Windows Client, always publish documents without routing. Although, you can customize document workflows using the DocuShare Developer Environment.
Routing tasks and upgrades - Routing tasks are upgraded from DocuShare 3.1 to 4.0. However, routing tasks are not upgraded from DocuShare 3.0.2 to 4.0. You should let the tasks complete before upgrading. For more information, call Customer Support at 800-835-9013.
Completed routing tasks display on My DocuShare [7716] - After completing a routing task that is displayed under Tasks on My DocuShare, the task remains in the list until you log out of and log into DocuShare.

Installation and Upgrade

Installations on Linux and Solaris servers [4684] On Linux and Solaris servers, warning messages and stack trace information may appear after the initial splash screen and license agreement display. However, DocuShare installs correctly.

Records Manager

Collection classification preset used in the Web UI only [9835] - When a classification preset is created for a collection, only documents added to the collection from the Web UI are classified. Documents added to the collection from other applications, such as the Clients and scan-to-DocuShare, are not classified.
Record of email attachment can become orphaned [9941] - When using the File both single and separate records option to create one record of a mail message with its attachment and one record of the attachment, the attachment record will become orphaned if the mail message with attachment record is destroyed before the attachment record. Should this occur, your administrator can relocate the orphaned record in a collection so you can access it.
Server clocks do not always stay synchronized [10320] - The clocks on the DocuShare server (Windows server) and the server on which the records management software is installed do not always stay synchronized. This causes a problem when the Permissions Synchronization task runs.

Searching and Indexing

Search results may not include recently added content - Indexing occurs after new content is added to the site and may still be queued for indexing by the background indexing process. This delay is normally momentary unless a very large amount of content has been indexed or the DocuShare/Verity Indexing Service is stopped.
Some documents cannot be indexed - Occasionally, indexing is unable to extract some or all of the text from a document. The Verity text extraction libraries used to index file contents support a variety of file formats, but will have trouble with certain files.
Search returning bad search results - If incorrect search results are being returned, execute the dsindex command-line utility to rebuild the search indices.
Reindexing can take 100% CPU - Reindexing the DocuShare site can take several hours and use 100% CPU. Therefore, it should be scheduled to run after the business day.

WebDAV

Refreshing Microsoft web folders [7282] - With some versions of Microsoft web folders, a Refresh (F5) does not update the Folders view when a collection has been deleted or renamed.

DocuShare Clients

Cannot use Caps Lock key when typing a Summary [23155] - When using the Checkin Wizard to check in a new document from Word, do not use the Caps Lock key when typing a summary. Doing so causes Word to shut down.
Error uploading document [27300] - Using Windows Client on Windows XP, an error can occur when trying to upload a document to a DocuShare server running 4.0 or higher with NTLM enabled (auto login).
Cannot find mail messages dragged and dropped to DocuShare server icon [31269] - If you drag and drop mail messages to a mapped DocuShare server icon, you can view the messages by doing the following: right-click the server icon and select Properties, click the Home Page tab, deselect Show home page by default for this folder, and click OK. The messages appear.
Log off and log in before using Client application [2955, 4427] - If an administrator installed one of the DocuShare Clients on your PC, do the following after installation is complete: 1. Log into your desktop. 2. If the DocuShare Add-ins for Microsoft Office are enabled, open each Office application before opening My DocuShare Places and Outlook. This ensures that the DocuShare commands appear in each application's File menu. 3. Log off your desktop.
