It’s critical to identify and revise expiring documents on time, especially when failing to do so can lead to litigation, trigger regulatory fines, or even result in missed business opportunities from lapsing contracts.

WaterWare’s Policy Manager for DocuShare contains the Email Alert tool and Report Generator to help solve this problem.  Email Alert signals users of approaching deadlines through proactive email notifications. Essential for alerting users of contract expiration dates, policy review dates and other document related deadlines, Email Alert for DocuShare runs with any DocuShare system.  DocuShare Content Administrators can set up an unlimited number of email alerts. Alerts can monitor any collection or collection tree, send alerts to individuals or groups, and schedule daily, weekly or monthly alerts. It’s easy to set the lead time for notification prior to expiration and the flexible system allows the use of standard DocuShare dates or custom date fields.

The administrator can change existing tasks and create new tasks dynamically through the web-based management interface. Task information is stored in the DocuShare database and backed up through your standard DocuShare backup procedures.

Policy Manager also includes the Report Generator to allow users to export information from a collection, collection tree, or search result set.  The administrator can configure which fields to include in a report, and metadata is exported in comma separated value (CSV) format for automatic import into Microsoft Excel.
