Description
Solution enabling production-volume scanning, quality control, and secure storage of personnel or other corporate records into DocuShare. Micro Images's DocSlide module can be integrated with DocuShare and with Fujitsu, Xerox, or other duplex scanners (for example using a TWAIN interface).
DocSlide's quality control module exists in a generic form, applicable and customizable to any organization. Additionally, a version has been customized to the vertical requirements of Federal agencies processing high volumes of HR records (for example, for import to DocuShare and also to external solutions such as Integic applications).
The DocuSlide module is configured to accomplish the following steps for efficiently digitizing and storing records with the appropriate attributes:
- Automatic population of fields using ODBC lookups to more than one database, if necessary
- Ability to defer documents that do not have enough information to process
- Ability to perform quality control on up to 100% of the documents processed
- Simultaneous output of digitized records to both DocuShare and the file system, with attributes loaded into DocuShare both as properties in DocuShare, and as a sticky note attached to the document. (The file system document is deposited with a .CSV file to allow import into another system of both the document and the index properties of the document)
- A report function that allows managers to track how many pages are processed or how many documents of a particular type, how many documents are processed by each scanning station, and percentage of documents that had to be changed in the QC process
A current Federal agency customer example of processing volume is roughly 7,000 documents per day.
Benefits
Benefits to an organization include:
- Auditable records of the files processed
- Reduced data entry, search, and management costs
- Elimination of on- and off-site records storage costs
- Web-based viewing capability for personnel who wish to see personnel records in DocuShare
- Disaster recovery of personnel records
